FastMailbox Privacy Policy

This Privacy Policy explains how FastMailbox collects, uses, stores, shares, and deletes information, including Google user data accessed through Google APIs.

Data We Access From Google

Google profile and account information

We access your Google account email address, basic profile information, and profile photo so we can identify the connected mailbox, display the correct account in the product, and prevent the same mailbox from being linked to multiple users.

Gmail messages, threads, labels, and metadata

With your permission, FastMailbox can read and modify Gmail messages, thread metadata, labels, read/unread status, archive state, and related mailbox metadata so it can organize your inbox, identify messages that need attention, support bulk unsubscribe and cleanup workflows, and prepare reply drafts.

Gmail settings

We may access basic Gmail settings needed to understand and apply mailbox behavior, such as send-as or account configuration that supports drafting and mailbox automation features.

Google Contacts, when enabled

If contacts access is enabled for your account or workspace, we may access contact names, email addresses, and profile photos to improve recipient selection, sender context, and reply drafting.

How We Use Google User Data

We use Google user data only to provide and improve user-facing FastMailbox features that you request or enable. This includes connecting your Gmail account, showing mailbox context, classifying and organizing email, applying labels or archive/read actions you approve, generating reply drafts, supporting unsubscribe and cleanup workflows, and keeping your connected account working.

Email content may be processed by application services and AI providers only to deliver the requested product functionality, such as summarizing a thread, finding relevant context, or drafting a response. FastMailbox does not use Google user data to train general AI models, and we do not permit our service providers to use Google user data to train their general AI models.

How We Share Google User Data

We do not sell Google user data. We do not share Google user data for advertising or unrelated marketing.

We may share Google user data with service providers that help us operate FastMailbox, such as cloud hosting, database, authentication, logging, customer support, payment, email delivery, and AI processing providers. These providers are allowed to process the data only to provide services to FastMailbox and must protect it under contractual confidentiality and security obligations.

We may disclose information if required by law, to protect users and the service, to investigate abuse or security incidents, or as part of a business transfer such as a merger or acquisition, subject to appropriate safeguards.

Data Storage and Protection

We store account records, OAuth tokens, mailbox metadata, user settings, rules, generated drafts, and other product data needed to operate FastMailbox. Data is protected using access controls, encryption in transit, encryption at rest where supported by our infrastructure providers, secret management practices, monitoring, and least-privilege operational access.

OAuth tokens are used to keep your connected mailbox working and are stored securely. Access to production systems is limited to authorized personnel and service accounts with a business need.

Data Retention and Deletion

We retain Google user data for as long as your account remains active or as long as needed to provide FastMailbox features, comply with legal obligations, resolve disputes, prevent abuse, and maintain security. Cached or derived data is removed or anonymized when it is no longer needed for the product purpose for which it was collected.

You can disconnect your Google account in the product to stop future access. You can request deletion of your account and associated Google user data by contacting us through the support link below. After we verify the request, we will delete or anonymize applicable data unless retention is required for legal, security, or legitimate operational reasons.

Google API Limited Use Disclosure

FastMailbox use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Your Choices and Controls

You can choose whether to connect a Google account, disconnect it later, or revoke FastMailbox access from your Google Account permissions page. Revoking access may limit or disable Gmail-related features.
